Master Pomlet sessions, quizzes, whiteboards, and reports.

This guide covers the core workflows, best practices, and common questions for preparing quizzes and whiteboards, running a smooth interactive session, and reading the results.

Overview

The recommended workflow

The cleanest way to use Pomlet is to separate preparation, facilitation, and analysis. The app is organized around that flow.

1

Create or generate

Choose a blank session, a ready-made template or an AI draft from a topic, URL or PDF. To use a template, open Create a session → Choose a template, select the language, preview it and choose Use this template. You get an independent copy to adapt. Whiteboards offer the same template choice when creating a board. If you belong to an organization, choose a personal or shared destination.

2

Structure

Mix scored questions with polls, open answers, word clouds, scales, and slides. Use folders to keep the quiz library easy to scan.

3

Review

Check correct answers, add explanations, choose a theme, and preview the quiz before playing it with an audience.

4

Launch

Choose Live, Practice, Teams, or Elimination depending on the room. The host screen shows the QR code, PIN, and connected players.

5

Facilitate

End a question early when everyone has answered, show the leaderboard between questions, and use explanations to enrich the debrief.

6

Analyze

After the session, open Reports to compare players, accuracy, answer distribution, and average response time.

Creation

Build a polished quiz

A strong Pomlet quiz is short, readable on a big screen, and balanced between competition, participation, and context.

Create with AI

AI is useful for producing a first draft quickly, not for skipping review. You can start from a topic, a web link, or a PDF.

  • Choose the quiz language, difficulty, and number of questions.
  • Add instructions to steer tone, scope, or expected level.
  • Always review every correct answer and explanation before launching.

Organize the library

The dashboard separates personal quizzes from organization quizzes. Folders exist inside each space and can be color-coded.

  • Sort by date or title to find active content quickly.
  • Duplicate a quiz before adapting it for another audience.
  • Deleting a folder does not delete the quizzes filed inside it.

Available content types

Single choice

One correct answer. Best for checking a precise fact, definition, or concept.

Multiple choice

Several correct answers can be selected. Scoring is all or nothing: players must pick the exact correct set.

True / False

A fast, highly readable format that works well between more demanding questions.

Ranking

Players drag items into the correct order. Scoring is all or nothing: the full sequence must match.

Poll

No correct answer. Use it to collect preferences, opinions, or room temperature.

Open answer

Players type a short response up to 280 characters. Leave it unscored, or turn on evaluation to award points: it tolerates differences in capitals, accents and punctuation, missing small words such as “the”, another word order and small typos (details below). Add variants for other acceptable answers (a full name, an acronym, a translation) and turn on Review answers before results to settle borderline answers yourself.

Word cloud

Players submit up to 10 words. The most repeated words appear larger when results are shown.

Idea board

Players post ideas, AI proposes useful groups, the host adjusts the wall, then participants vote privately with hearts. Large rooms use an adaptive idea limit.

Scale

Players choose a value from 1 up to a maximum between 3 and 10, with optional labels at each end.

Slide

Presentation content with no answer and no score: context, instructions, transition, or recap.

Whiteboard

A collaborative canvas placed inside a session. Participants can only enter it while the host is on that activity.

Open answers: what is accepted or rejected

Each response is compared with the correct answer and its variants.

Accepted

  • Capitals and accents, œ, æ and ß included: “britney spears” or “Britnéy Spears” for “Britney Spears”, “Sacré-Coeur” for “Sacré-Cœur”.
  • Punctuation, which separates words like a space, except the dots of an acronym: “Britney Spears!” for “Britney Spears”, “USA” for “U.S.A.”.
  • Missing small words such as the, a, an, of, and: “Eiffel Tower” for “The Eiffel Tower”.
  • Words in another order: “Spears Britney” for “Britney Spears”.
  • Numbers written differently, in digits or Roman numerals: “5th”, “No. 5” or “number 5” for “5”, “007” for “7”, “1,000” for “1000”, “Louis 14” for “Louis XIV”.
  • One typo per word of 5 letters or more (a letter added, missing or changed, or two neighbouring letters swapped): “Britney Speers” for “Britney Spears”, “Parsi” or “Pari” for “Paris”.
  • Otherwise, one typo across the whole answer, small words and spaces included, from 5 characters, and two from 12, but never in a number or in a single letter like the one in “Vitamin C”: “Mon Blanc” for “Mont Blanc”, “Mikael Jackson” for “Michael Jackson”.

Rejected (beyond these allowances)

  • Another number, in digits or Roman numerals: “Apollo 12” for “Apollo 11”, “Louis XV” for “Louis XIV”; a number in words: “five” for “5”.
  • Another letter: “Vitamin D” for “Vitamin C”, “Plan B” for “Plan A”. In the correct answer, write such letters and Roman numerals in capitals, and the rest normally.
  • Only part of the answer: “Britney” or “Spears” for “Britney Spears”, “Vitamin” for “Vitamin C”.
  • More typos: “Olso” for “Oslo”, “Pikaso” for “Picasso”.
  • A synonym, nickname or translation: “NYC” for “New York”, “Londres” for “London”.

To accept another answer, add it as a variant, one per line: a full name, an acronym (“IBM” for “International Business Machines”), a translation… Each variant follows the same rules.

Tip: to settle borderline answers yourself, turn on “Review answers before results”.

Question settings

  • Change the element type from the right-side settings panel.
  • Use standard, double, or no score for scored question types.
  • Set 10, 20, 30, 60 seconds, a custom duration, or no time limit.

Media

  • Add images or animated GIFs to questions, answers, covers, and slides by uploading a file, using Pixabay, or searching for GIFs.
  • Add a trimmed audio or video excerpt to a question. In host-paced games it plays on the host screen only; player phones stay silent and are used only to answer.
  • Choose the excerpt start and end. Audio supports a linked fade-in/fade-out, an apply-to-all shortcut, and an option to match the question timer to the media.

Themes and embed

  • The selected theme applies to the editor, host screen, player screen, and embed.
  • The iframe embed code can be copied from the editor.
  • Preview helps you test the experience before publishing or playing.

Best practice

For a dynamic session, keep questions short, use 3 to 5 answers when possible, write a concise explanation for important questions, and add a slide whenever players need context before answering.

Facilitation

Launch and run a game

The Play button opens the mode picker. Pick the flow that matches the room: live, practice, teams, or elimination.

Live mode

Everyone plays together, paced by the host. The lobby shows the QR code, join link, PIN, and connected player list.

  • Players join from their phone with the PIN or QR code.
  • Latecomers can join at any time; during a question, they answer with the time left.
  • The host can remove a player, change the theme, and adjust settings for this session.
  • After each question: results, optional explanation, leaderboard, then the next question.

Practice mode

Each player moves at their own pace. Use it for practice, review, homework-style activities, or asynchronous training, while you watch a live tracking dashboard.

  • Players can join and start without waiting for a global launch.
  • The host sees progress, scores, and who has finished.
  • Once a player has started, question and answer order are locked for that session.

Teams mode

Prepare team names before the lobby and let players choose when they join, or assign them yourself before starting the quiz.

  • Drag players between teams, rename teams, or randomize balanced groups; every player must belong to a team, but empty prepared teams do not block launch and stay off the run and reports.
  • Choose whether every teammate scores or only the best answer counts per question.
  • Leaderboards and final results rank teams.

Elimination mode

A wrong or missing answer on a scored question knocks a player out, but they keep watching.

  • Polls, word clouds, scales, slides, and open answers without evaluation do not eliminate players.
  • If no remaining player answers a question correctly, nobody is eliminated on it.
  • Eliminated players become spectators and no longer block the answer count.
  • The game ends early when only one active player remains.

Before launch

Make sure the quiz is saved, correct answers are marked, and useful explanations are written. To publish the same PIN and QR code ahead of time, enable Prepare this session in advance and reserve them for 7 or 30 days.

In the lobby

Put the host screen on the projector. Keep the QR code visible long enough and confirm the expected player count.

During play

End a question when everyone has answered, and use the leaderboard to bring energy back between rounds.

Collaboration

Create and share whiteboards

Pomlet Whiteboard works on its own or as an activity inside a session. Access rules for a standalone link never prevent invited session participants from entering while that activity is live.

Sharing and roles

  • Choose access by link, signed-in account, or named email invitation.
  • Viewer can watch. Editor can change unlocked content. Admin can also select and change locked content.
  • The owner manages sharing, invitations, roles, and board settings. Removing someone or tightening access takes effect for active connections too.

Inside a session

  • Players enter with their session identity; they do not need standalone access to the whiteboard.
  • The canvas opens only when the host reaches that activity and closes when the host moves on.
  • The same whiteboard can be used by separate sessions: every session has its own temporary admission.

Editing and locked objects

  • Use sticky notes, text, shapes, arrows, freehand drawing, voting, alignment, and layers.
  • Lock stable instructions or background elements so editors cannot select, move, edit, or delete them.
  • Reports show current shape and sticky-note totals, plus cumulative additions by identified participant.

Import, export, embed, and deletion

  • Export preserves content and visual settings, but excludes members, invitations, and contribution history.
  • Import creates a new independent whiteboard. The embed reflects the board background and is read-only.
  • Deleting a whiteboard also clears it from every session that referenced it. Old links then show that the board is unavailable.

Reports

Read results after a session

Reports turn a played game into usable analysis: who joined, which questions were difficult, and how the group responded.

Session list

Sessions are listed newest first, with mode, player count, question count, and the quiz's current folder when available.

Participants

The player breakdown shows rank, score, correct answers, and best streak. Non-scored elements do not count toward accuracy.

Questions

Each question keeps the answers from the session: distribution, accuracy, response count, and average response time when available.

Important

Organization admins can see every session run on organization quizzes. Creators see their own organization sessions. Other members' personal sessions stay private.

Organization

Team, roles, and licences

Teams & access lets you collaborate without mixing responsibilities: content creation, member administration, and plan management stay clear.

Roles

  • Owner: the person who creates the organization. Sole access to billing and ownership transfer; also has all administrator permissions.
  • Administrator: manages members, invitations, roles, licences and shared content, without billing access.
  • Creator: creates quizzes and whiteboards, with no member administration or billing access.
  • All roles can create content. The role does not include Pro automatically: assign a licence or use a personal Pro plan.
  • There is exactly one owner. In a member’s actions menu (…), choose Transfer ownership. After confirmation, the change is immediate, the former owner becomes an administrator, and both receive an email. The subscription and saved payment method remain unchanged; future billing emails go to the new owner.

Licences and Pro

  • Only the owner buys or adjusts licences through Manage plan. Administrators assign the purchased licences to members.
  • Increasing licences is charged immediately, prorated for the current period. It is not possible while a payment of the subscription is missing (a late card payment or an outstanding invoice).
  • Reducing licences takes effect at the next renewal; until then, no licence can be assigned beyond the new number. It is not possible while a cancellation is scheduled: resume the subscription first.
  • A member with Personal Pro never uses an organization licence.

Invoice payment

Invoice payment is disabled by default and reserved for approved organizations, on the annual plan. The owner can request access in Manage plan (“Request invoice payment”): the decision usually takes less than 24 hours, and an email lets them know as soon as invoice payment is turned on. Then choose Invoice · bank transfer in that same window: the annual plan is selected. Enter the billing name and address, then confirm the subscription. Stripe emails the invoice: a PDF with a EUR IBAN and reference, which you can forward to accounting, and a link to its payment page. Pay it within 30 days, by transfer from your bank (with the reference) or by card on that page; nothing is charged automatically. Access starts when the invoice is issued. At each annual renewal Stripe sends a new invoice, and reconciles transfers automatically. Partial payments leave the balance due; excess funds can cover later invoices. Stripe sends payment reminders. Without payment, the Pro access of all the organization’s licences is suspended, then the subscription ends; the licences stay assigned during the suspension and Pro comes back as soon as the payment is received. A reminder is emailed about 45 days before each annual renewal. After that renewal, as long as no payment has been received on its invoice and before it falls due, the owner can choose “I won’t renew” in Teams & access: the renewal invoice is voided and the subscription ends at once. Settle pending invoices before adding licences, changing the billing period or changing payment method. Invoice payment is limited to 100 licences; automatic payment supports larger teams. Added licences are invoiced proportionally until the annual renewal; reductions apply at renewal. The owner receives financial emails. Payment method and invoices shows recent PDFs and the payment page of invoices to pay; Manage billing provides the full history. To have future invoices charged automatically to a card, choose “Pay by card from now on” in Payment method and invoices and enter your card on Stripe’s secure page; this is possible when no invoice is outstanding. Switching to monthly is then possible, by card. A scheduled licence reduction must be completed or undone before changing payment method. Personal subscriptions use automatic payment.

Owner unavailable or leaving

If the owner can still sign in, they should transfer ownership before leaving. Otherwise, contact support@pomlet.com from your work email with the organization name, the current owner, the proposed new owner (an existing member), and the reason. We ask for written approval from an authorized company representative and verify it through an independently confirmed company contact. We notify the former owner and normally allow three business days to respond. A matching email domain or no reply alone is not proof of authority. If authority is disputed, we pause the transfer. Support then completes the same ownership and billing-email update, without changing the saved card.

Invitations

Invitations are sent by email, valid for 14 days, and can be resent or revoked by an admin.

Spaces

A personal quiz stays private. An organization quiz is visible to every member of the organization.

Removing a member

Removing a member takes away their access to shared quizzes. Their organization licence is released if they had one.

Billing

Subscription and billing

Paying, finding an invoice, changing your card or cancelling: it all takes a few clicks from “Manage plan”, in the account menu for Personal Pro or on the “Teams & access” page for an organization. In that window, “Manage billing” opens the secure space of Stripe, our payment provider.

Subscribe to Pro

Pro costs €9.90 a month or €99 a year, for one person or for each organization licence.

  • For yourself: open the account menu → “Upgrade to Pro”, choose “Monthly” or “Annual”, then confirm with “Upgrade to Pro”.
  • For an organization: the owner opens “Teams & access” → “Manage plan”, picks the period and the number of licences, then “Continue to payment”.
  • You pay on Stripe’s secure payment page. Have a promo code? Enter it on that page.
  • Pro is active as soon as the payment is accepted (for an organization, the licences are then ready to assign). You receive a confirmation email from Pomlet and a receipt from Stripe.

Receipts and invoices

  • Every payment comes with an invoice, and Stripe emails you the receipt.
  • Your latest invoices are under “Manage plan” → “Payment method and invoices”: open the PDF, or the invoice page to view or pay it.
  • The full history is in “Manage billing”.
  • For an organization, invoices and billing emails go to the owner.

Your company on the invoice

  • When you pay, Stripe’s page lets you enter your company name and VAT number: they then appear on your invoices.
  • With invoice payment (organizations), you enter the name, address and VAT number in Pomlet before receiving the invoice.
  • To change the name, address or VAT number on future invoices, open “Manage billing”.
  • An invoice already issued needs correcting? Write to support@pomlet.com.

Change your card

  • Open “Manage plan” → “Manage billing”.
  • Add the new card and make it your default payment method, then remove the old one.
  • The last card of a running subscription cannot be removed: add the new one first.
  • A payment is pending? Settle it with “Pay”, next to the invoice in “Payment method and invoices”.

Confirmations and declined payments

  • Your bank asks for confirmation (3D Secure): Stripe or your bank sends you a link; open it and approve the payment. A banner in Pomlet reminds you.
  • Added licences or a switch to annual still to be paid? “Complete payment” also appears in “Manage plan”.
  • The payment fails: a banner appears in Pomlet, and Stripe or your bank lets you know by email. Update your card in “Manage billing”.
  • Without payment, Pro access is suspended, then the subscription ends. As soon as the payment is settled, Pro access comes back. An organization’s licences stay assigned during the suspension, and your content is always kept.

Monthly or annual

  • Switch to annual: in “Manage plan”, choose “Switch to annual”. The exact amount is shown before you confirm: the annual price, minus the unused part of the current month. A full 12-month year starts that day.
  • Go back to monthly: choose “Monthly” for the renewal, then confirm. You keep the annual plan until the end of the paid year, with no proration or refund.
  • Keep the annual plan: until then, choose “Annual” again; the switch to monthly is cancelled.
  • The monthly plan is paid by card: an organization paying by invoice first chooses “Pay by card from now on”.
  • A reminder is emailed about 45 days before each annual renewal.

Cancel or resume

  • Personal Pro: account menu → “Manage plan” → “Cancel subscription”.
  • Organization: the owner opens “Teams & access” → “Manage plan” → “Cancel renewal”.
  • You keep Pro until the end of the paid period (the current month or year). As the terms of sale state, that period is not refunded.
  • Changed your mind? Before that date, choose “Resume subscription” (Personal Pro) or “Keep subscription” (organization): the subscription carries on.
  • After the end, your content is kept and you can subscribe again at any time.

Invoice payment

For organizations on the annual plan, on request: handy when your accounting team pays invoices by bank transfer.

  • The owner clicks “Request invoice payment” in “Manage plan”. The decision usually takes less than 24 hours, and an email lets them know as soon as invoice payment is turned on.
  • They then choose “Invoice · bank transfer”, fill in the billing name and address, and confirm. Already paying by card on the annual plan? This choice is in “Payment method and invoices”.
  • Stripe emails the invoice. It is payable within 30 days, by card or bank transfer from its page. For a transfer, include the invoice reference.
  • After a renewal by invoice, “I won’t renew” appears in “Teams & access”: it declines that renewal before the invoice is due, as long as nothing has been paid.
  • To go back to automatic card payment, choose “Pay by card from now on” in “Payment method and invoices”.

Organization licences

Adding or removing licences and assigning them to members: it is all explained in the “Team” section, just above.

Ownership transfer

By card, the saved payment method keeps paying the subscription: the new owner adds theirs in “Manage billing”, then removes the old one. By invoice, the next invoices go to the new owner.

Who manages billing?

For Personal Pro, only you. In an organization, only the owner pays, receives the invoices, changes the card or cancels; admins assign licences without billing access.

FAQ

Frequently asked questions

These answers cover the most likely blockers while creating, running, and managing Pomlet sessions.

What is the difference between Live and Practice?

Live is host-paced: everyone moves together, with timers, reveals, leaderboards, and a final podium. Practice is self-paced: players move through the quiz independently, with no timer and instant feedback after each question, while you watch a live tracking dashboard.

Why can't a player join a game?

  • The PIN must be exactly 6 digits.
  • A prepared PIN can be shared before launch; the join page waits until the session opens.
  • In Live mode, new players join before the game starts.
  • The player limit depends on the host's Free or Pro plan.
  • A disconnected player can come back from the same browser to recover their place.

Who can edit a shared organization quiz?

Everyone in the organization can view and launch shared quizzes. Editing, deleting, and moving a shared quiz is limited to the quiz creator and organization admins. Any member who can view a quiz can duplicate it and work from the copy.

Why does an explanation not show after the answer?

Explanations appear only when Show explanations is enabled and the graded question has an explanation written. Polls, unevaluated open answers, scales, word clouds, and slides do not have a correct answer.

How does scoring work?

Scored question types are single choice, multiple choice, true / false, ranking, and open answers with evaluation turned on. Each scored question can use standard score, double score, or no score. Speed bonus can be enabled for Live games, and correct streaks add a small bonus.

Where do question audio and video play?

In host-paced games, audio and video play only on the host screen. Player phones deliberately stay silent and only show the answer controls, avoiding ten unsynchronized copies of the same sound. Practice sessions should use questions that do not depend on host-only media.

What is the embed for?

The embed generates a standalone iframe for Rise, 360Learning, or any page that accepts iframe embeds. It does not create a PIN, lobby, live game, leaderboard, or session report: it is an individual embedded quiz experience.

Why is my report missing?

Live reports are saved when the game reaches final results. Practice reports update while players progress through the quiz. Demo games do not create reports.

What is the difference between personal Pro and organization Pro?

Personal Pro is paid by the user and never uses an organization licence. Organization Pro comes from a licence assigned by an admin. Organization licences are billed €9.90/month per licence, or €99/year per licence with the annual plan, with cancellation available anytime and access through the paid period.

Can I switch between monthly and annual?

Yes, from Manage plan. Switching to annual is immediate and starts a full 12-month year from that day: you pay the annual price, minus the unused part of the current month, and the exact amount is shown before you confirm; an email then confirms the amount paid and the new renewal date. Switching back to monthly takes effect at the end of the paid year: until then you keep the annual plan, with no proration, credit or refund, and choosing Annual again for the renewal cancels the switch. The monthly plan is paid by card: an organization paying by invoice first chooses “Pay by card from now on”. Promo codes are entered on the payment page, on the monthly or the annual plan. When switching to annual, a promo code of limited duration (once or for a number of months) ends: the unused part of what you paid this month is deducted, then the annual plan is at the regular price; a permanent promo code is kept. When switching back to monthly, a promotion still running at the end of the paid year continues until it ends, without restarting. A reminder is emailed about 45 days before each annual renewal, by card or by invoice; to not renew, cancel before the renewal date. With invoice payment, you can also decline the renewal afterwards, as long as nothing has been paid on its invoice and before it falls due.

What happens if a payment does not go through?

A banner lets you know in Pomlet, and Stripe or your bank emails you if the card is declined or the payment needs to be confirmed (3D Secure). Update your card in “Manage billing”, or confirm the payment if your bank asks. Without payment, Pro access is suspended (an organization’s licences stay assigned), then the subscription ends. As soon as the payment is settled, Pro access comes back. By invoice (organizations, annual plan), the invoice is payable within 30 days, by bank transfer or card from its page. Pomlet emails you when access is suspended, when it is restored and when the subscription ends. Your content is always kept.

How do I change my card?

In “Manage plan” → “Manage billing”: add the new card, make it your default payment method, then remove the old one. Step by step: the Subscription and billing section.

Where are my invoices and receipts?

The receipt arrives by email after each payment. Your latest invoices are under “Manage plan” → “Payment method and invoices”, and the full history is in “Manage billing”. More details: the Subscription and billing section.

How do I get my company on the invoice?

Enter its name and VAT number on Stripe’s payment page, or later in “Manage billing” for future invoices. To correct an invoice already issued, write to support. See the Subscription and billing section.

How do I cancel?

Personal Pro: account menu → “Manage plan” → “Cancel subscription”. Organization: the owner opens “Teams & access” → “Manage plan” → “Cancel renewal”. You keep Pro until the end of the paid period and can resume the subscription until then. See the Subscription and billing section.

What is Pomlet MCP?

Pomlet MCP connects your account to an external AI assistant such as Claude, ChatGPT, Cursor, Codex, or Claude Code. You create quizzes, whiteboards, and sessions from that assistant. MCP access is included with Free and Pro. Your Pomlet plan limits and any charges from your AI assistant still apply. An admin manages access for organization licences. Open the account menu → MCP to install https://mcp.pomlet.com/mcp and revoke connections.

How do I connect Claude or ChatGPT?

Open the account menu → MCP and choose the Claude or ChatGPT tab. Claude (web or desktop): Settings → Connectors → Add custom connector → server URL https://mcp.pomlet.com/mcp → Connect, then sign in to Pomlet and allow access. ChatGPT: Settings → Apps & Connectors → Advanced settings → turn on developer mode, then Create a connector with the same URL and OAuth. Custom connectors depend on your assistant plan, and in a company workspace an admin may need to allow them. Web assistants cannot send files from your computer: give them a public image link or add the file in the editor.

What happens if I add licences while my subscription is set to cancel?

Adding licences still works, but it does not resume the subscription. You're charged the prorated amount for the extra licences right away, covering only the days left until the cancellation date. Those licences stay usable until then, and the subscription still cancels on that date as scheduled. To keep your plan running, resume it from Manage plan before the cancellation date.

Does deleting a folder delete the quizzes inside it?

No. Deleting a folder only removes that filing structure. The quizzes remain available at the top level of the same personal or organization space.
